Lightspeed X-Series
Line-item quotes from a job push across as parked sales, so the counter rings the work up without retyping a thing. Every push is logged in a sync log you can check.
Integrations
The first thing most shops tell us is "we already have a POS". Good, keep it. Velobook runs the booking side, the drop-offs, the workshop diary, the reminders, and connects to the systems you already own instead of asking you to replace them.
Quotes land in your till, payments settle to your own accounts, and bookings show up on your calendar. Here is everything Velobook connects to today.
Velobook is not a till and does not want to be. Connect the one you run and the workshop side talks to the counter side.
Line-item quotes from a job push across as parked sales, so the counter rings the work up without retyping a thing. Every push is logged in a sync log you can check.
The same quote-to-till flow for shops on R-Series. Connect once and job quotes land in Lightspeed ready to charge.
For shops in the Trek ecosystem. Job quotes from Velobook arrive in Ascend as sales waiting at the counter.
Product and inventory hooks plus checkout. Tag a booking with parts the customer already bought, and let parts add-ons in Velobook draw from your Shopify inventory.
With a POS connected, mechanics see live stock levels from inside Velobook while they quote, no tab-switching to check the shelf.
Velobook shows the stock level mirrored from your POS, less the parts already committed to other open jobs, and spells the subtraction out on screen rather than showing a bare number. Velobook only ever reads your POS stock: it never writes, reserves or decrements it.
Switching to a booking tool should not mean typing your customer list in again.
Export a CSV from your current system and bring your customer list across. There are column presets for Lightspeed R-Series and Lightspeed X-Series, and manual column mapping for any other CSV. You get a dry-run preview before anything is written, and one-click rollback of a batch if it is not what you wanted. It matches customers already on file instead of duplicating them, never overwrites a field that already has something in it, and skips customers whose data was erased at their request. Find it under Integrations, then Import. Import brings customer records across, not bikes, and the mapping screen is desktop only.
Online payment at booking is optional and off by default. When you switch it on, funds settle directly to your own account. Velobook never holds customer money.
Take a deposit to confirm a booking, or the full amount up front, charged through your own Stripe account. Refunds happen from your Stripe dashboard, not ours.
The same rail for shops on Square: deposits or full payment at booking, settling straight to your Square account.
Bookings show up where you already look.
Velobook writes every booking to a dedicated calendar it creates in your Google account. It never reads your other events. Staff can connect their own calendars too, so each mechanic sees their own day.
A read-only feed of your bookings you can subscribe to from any calendar app: Apple Calendar, Outlook, whatever the shop runs.
Email is included with every booking. Text channels are optional add-ons, and strictly transactional: confirmations, reminders, ready-for-pickup. No marketing blasts from us, ever.
Confirmations, reminders and cancellation notices, included in the per-booking price with nothing to set up. Works everywhere.
Optional, prepaid, charged per message. Currently sends to Australian and UK mobiles, with other markets following as each region's sender approval clears.
Optional, flat-priced per message. Booking updates go out on WhatsApp and customer replies land back in the booking's message thread.
A paper job card on the bike, straight from the booking.
Job cards print to Epson thermal printers out of the box over Server Direct Print. No extra hardware, no computer left running.
For every other printer: a small agent on a shop computer picks up print jobs and sends them to whatever is plugged in, USB-only laser printers included.
For mobile mechanics who spend the day on the road.
Velobook sends the day's mobile jobs to Tarot for route optimisation and shows the planned day back on a map, with live arrival estimates your customers can follow.
Something your customers set up for themselves, that quietly sends them back to you.
A customer links a bike to Strava from their own account and picks the distance at which they want a service reminder and a chain-wax reminder. When the kilometres tick over, they get a nudge and a way to book it in with you. Their Strava mileage stays private to them: it is never shown to the shop, and it is not a list you can market to.
Your traffic and your reputation stay in your own tools.
Drop in your own IDs and booking-page traffic and drop-off flow into the analytics you already use.
Add your review links and Velobook asks happy customers for a review by email two weeks after their booking.
Xero, QuickBooks, Mailchimp and more are on the roadmap, and we ship them in the order shops ask. Tell us what your shop runs on and it moves up the list.
Thirty days free, a dollar a booking after that, capped every month. Or book a 15-minute walkthrough and we will connect it to your till on the call.
velobook uses essential browser storage to keep you signed in, remember which shop you are working in, and route custom domains. With your permission, we also use Google Analytics to understand how people use velobook. Advertising trackers are always off. Choose what is okay with you.
