Your own WhatsApp number, emails that look like yours, and group hires where everyone pays their share.

Three of the biggest asks from shops this month. Message customers from the WhatsApp number they already have saved for you, format your emails with bold, buttons and images, and send each rider in a group hire their own payment link.

New

WhatsApp on your own number

WhatsApp messages used to come from Velobook's shared number. Now customers can message the number they already have saved for you. Connect your WhatsApp Business number in Integrations through Meta's own sign-in, and keep using the WhatsApp Business app on your phone alongside Velobook. Replies go out from your number, under your shop's name, and Meta bills your own account for messages.

New

Format your own emails

Template emails used to be plain words. They now take bold, links, buttons, headings, bullet lists and images. Pick them from the Format menu in the template editor, and the preview shows exactly what the customer will get. Details filled in from a booking always show as plain text, so nobody can slip a link in through their name.

New

Group hires where each rider pays their share

One booking for the whole group, a payment link for each person in it. Split by rider fills each share from what's still owed, or tick the bikes someone is paying for and their link is itemised. The job card shows every link as paid or not, the Bookings list shows 3 of 6 paid at a glance, and you hear about it each time someone pays.

Under the hood

  • Call-to-book services

Mark a service "Call or email to book" and it stays on your booking page with your phone and email, without being bookable online. Give regulars a shop code, or a link with the code built in, and they can book it themselves.

  • Hide service times

Booking page > Service times switches off the duration shown on each service card.

  • Minimum notice per service

A tune-up can need three days' notice while flats stay bookable today. The calendar greys out the days that are too soon and says why.

  • Skip the bike questions online

A shop that doesn't need the bike's make, model and colour before it arrives can stop asking for them on the booking page.

  • Hire terms before payment, and on the job card

A hire booked over the phone sends a link that shows your hire terms with an Accept and pay button. The job card shows who accepted, when, and the wording they accepted.

  • Take one bike off a group hire

When a rider drops out, remove their bike from the job card. Their extras come off with it, delivery and tax are worked out again, and you choose the refund.

  • Paid hires show up in your ad tools

A hire paid through Velobook on your own website is recorded as a purchase, with the amount, in your Google Ads, GA4 and Meta tracking.

  • Tax on sales sent to Shopify and Square

Switch on Include tax on orders and your tax rates go with each sale, so the total in your till matches the job.

  • Leave the price off the bike-ready email

For shops whose till holds the final figure. The bike-ready email can skip the work and the total, and still lists what you checked.

  • Serial search ignores spaces and dashes

    WTU 123-456 finds WTU123456.

  • Move route stops up and down

After auto-routing, move any stop earlier or later in the day.

  • − and + on quote quantities

Each quote line has − and + buttons on the quantity, and typing a new number works the way you'd expect.

  • Trade customers show their shop's name

Send-in bookings can carry a shop or business name, filled in from the trade account, so a job reads as the shop it came from. Make a new trade account straight from the job card.
