Pop-up clinics and community repair days
Run a repair day from a fixed spot on set dates: set up the location once, publish its dates, and work the day off a printed day sheet.

A pop-up clinic is a day you work from somewhere that is not your shop: a library car park, a housing estate, a depot, a school. Customers bring their bike to a spot and time you have published. Community repair days are the same thing.
Clinics are set up under Catalogue → Services, on the Community days tab. The tab is there whether or not you do mobile servicing.
Set up a spot
- 1Add a clinic and name it so customers recognise it, for example "Saturday at the depot".
- 2Set its address: the meeting point, not the suburb.
- 3Add a Photo of the meeting spot. Landscape works best.
- 4Add a Map of the exact spot image if the address alone is ambiguous. Customers see it beside the photo on your community days page.
- 5Set a Region if you run clinics across a few areas. It groups the spot on your public community days page and gives it a tidy link.
- 6Add an optional note for the day: parking, which entrance.
- 7Set Day defaults: the usual start and end time, and the person who usually hosts it.
Publish the dates
- A spot needs dates before it is bookable. Under Dates, click the days you are there on the calendar, across as many months as you like, set the start and end time once, and press Add for the dates you picked.
- Each date is its own row: edit it, give it its own capacity and host, or cancel it if the weather beats you. Changing one date never changes the rest.
- Capacity per session is a number of bikes or of work hours; when both are set, hours win. Hours suits a day whose jobs differ wildly in length.
Choose Import CSV and download the Template first.
- One row per date: name, address, date, start time, end time, capacity, region and blurb, repeating the clinic's name for each date. Only name is required
- Re-importing is safe: spots match by name and dates already on the schedule are skipped
- Nothing is saved until you press Save
What customers see
- On your booking page, a customer finds their day by location (nearest spot first, using their address or their phone's location) or by date on a calendar of every clinic
- If you also travel to people, a We come to you tile sits alongside the spots
- Shops with no counter land straight on this picker
- A link to a particular spot lands on that spot's next open date, with the other dates still there
- A public page lists your community days at /your-slug/community-days, by region then spot, with a Book button on each date. Send it to a council, a community group or a local Facebook page
The confirmation email
A clinic booking's confirmation replaces your shop address with where to go: the spot's name, times, address, your standing note, and anything you added for that date. The meeting-spot photo is in the email, and a calendar invite is attached. Clinic days also show in your iCal feed.
Working the day
On Bookings, switch List to Day sheet for a printable manifest: one row per job with the time, the stop, the customer and phone, the service and extras, the bike, the notes, who it is assigned to, the status and what is owed. Chips across the top filter to a single stop. Print opens a clean copy; CSV exports it.
If you run mobile jobs as well, a clinic session is a fixed anchor in the day's route, with a buffer either side. See planning a mobile day.
