Keeping, exporting and erasing data

Export what you need, control how long customer photos are kept, and erase a customer on request.

Every customer, booking and history in Velobook is yours: export it, control how long customer photos are kept, and honour a customer's request to be erased.

Photo retention

  • Photos attached to a customer's job (workshop photos, and images you message the customer) are deleted automatically once they reach an age you set
  • Ageing is measured from when the job finished, so everything on one job expires together
  • The default is two years. Set anywhere from 3 months to 10 years under the Account page
  • Your fleet and catalogue pictures are shop assets and are never touched

Erasing a customer

  • From a customer's profile, archive them (hidden from your list, reversible) or erase their personal data
  • Erasing anonymises their name, contact details and message history and removes their bikes and photos straight away. Past bookings stay as anonymous records for your shop's financials
  • Erasing cannot be undone

Exporting your data

  • Bookings and quotes export to CSV whenever you like: the Bookings list exports the rows in view, and analytics and CSV exports covers the booking and quote exports with money attached
  • Export CSV on the Customer list downloads the customers matching your filters: name, email, phone, bikes, last visit and marketing opt-in. Admins only
