The Workboard

Track where every bike is up to, drag jobs between stages, and know exactly which stage changes message the customer.

The Workboard is its own page under Front desk, not a view of Schedule. Schedule answers "what is on, and when". The Workboard answers "where is each bike up to". It is the screen the bench works from.

The columns

  • Service jobs run left to right: Booked, In progress, Waiting, Ready for pickup and Complete. A Declined column appears after Complete for shops that use that outcome
  • Waiting is one column with two drop zones, Awaiting parts and Awaiting approval
  • Each column heading carries a count
  • A shop that drives to customers gets two more columns once the En route stage is on: En route for the drive out, On the way to deliver for the drive back
  • Stages you have renamed, recoloured or hidden on job card setup follow here. A hidden stage's column appears only while a job is still in it
  • This day shows one day at a time, with the same date stepper the rest of the admin uses. Jobs waiting on parts or approval carry over from earlier dates rather than being stranded.
  • All open adds every unfinished job booked for later dates too: what to pull forward in a free hour.
  • Either way there is a staff filter (All staff, Unassigned, or one person). Cancelled and no-show bookings never appear. A completed job sits in Complete as a locked, read-only card.
  • Cards show the start time or arrival window, the customer, every line of work, where the job happens if not at the shop, and who it is assigned to
  • Pills call out a Rush job, a Priority job, one blocked on an unsigned Waiver, and how long a bike has sat waiting
  • Priority is not rush: rush is a paid same-day turnaround the customer chose; priority is your own call, bills nothing, and is never shown to the customer. A priority job floats to the top of its column
  • See bikes waiting on parts for working that column

Moving a job

  • Drag a card into another column, or use the button at the bottom of the card, which names the next stage
  • That button covers Booked to In progress to Ready for pickup. The Awaiting detours and Complete live on the job card's stage control
  • Moves save immediately. A refused move snaps back and says why
  • If your shop requires a servicing waiver before work starts, moving a job into the workshop stages opens the ways out (sign now, send the link, or authorise starting without it). See checklists and safety

What a stage change tells the customer

  • Moving a job to Ready sends the "your bike is ready" email, unless you switched that template off. It is not tied to the booked date.
  • The in-between updates (work started, waiting on parts, needs approval) are off by default.
  • Turn them on with Customer updates as the job moves on job card setup, or as Workshop status updates under Messaging → Templates. Same setting, two places. Each individual message can still be switched off on its own.

The Rentals board

  • The Service / Rentals toggle at the top switches the board to hire bikes: Due out, With customer, Coming back, Overdue and Back
  • A hire appears from the day it starts until its bikes are back. A late one follows the board forward
  • Dropping a card into With customer is the handover: it records the pickup for a shop-collection hire, or advances the delivery leg for one you deliver, which also messages the customer
  • Due out and Overdue are never drop targets; Back is the end of the line. A column that cannot accept the card is not highlighted while you drag
