Rental settings: windows, delivery and security

The shop-wide side of hire: how customers can book, how bikes get to them, and what you take as security.

Catalogue → Rentals has two tabs. Bikes & extras is the catalogue, covered in multi-day rentals. Rental settings is everything shop-wide: booking windows, delivery, and what you take as security. This page walks that tab, card by card.

How customers find things

  • Which question comes first: Dates first when everything goes out on the same terms; What they want first when your kit has different minimum hire lengths, so a customer picking two days never sees anything with a five-day minimum
  • Sections groups the hire page under headings in the order you set. Assign each bike to one on its own page; anything unassigned still shows, at the end

Booking windows

  • This card decides how customers can hire: Daily hire, Day parts (half day), Hourly hire, or any mix. Turn a mode on here, then set each item's rate under Bikes & extras; an item only offers a mode when both are set.
  • Opens and Closes set the times a customer can pick for hourly hire and, with the Half-day changeover hour, split the day into morning and afternoon for half-day hire, with your own Morning label and Afternoon label.
  • Hire runs on different days to repairs picks the weekdays hire is offered on, whatever days you take repairs. Off, hire follows your opening days. Holidays and days closed on the calendar still close hire either way.
  • Daily hire carries Allow same-day return, so a morning-to-evening loan is one day.
  • Hourly hire takes Minimum hours and Maximum hours; customers pick a date, a start time and a number of hours in that range.
  • Charge a day after stops hourly blocks stacking past the hour you set. Past that, charge The day rate or Whichever is cheaper.

Delivery

  • Tick Offer delivery on rentals and the booking flow asks for a delivery address, a delivery window on the start day, and a collection window on the return day. The collection address can differ: hotel drop-off, trailhead pickup.
  • Delivery fee is one of Free, built into rates, Per pickup area, or By distance from base.
  • Also allow shop pickup keeps the counter option. Only deliver to my pickup areas turns away addresses you do not cover.
  • Your areas, the days you cover each, and per-area pricing live in the Rental pickup areas & days card below.
  • Delivery windows and Collection windows are time blocks with an optional daily cap; a capped window stops taking bookings once that day's runs are full.
  • Two free-text boxes: How you hire, shown on the date step, and your Cancellation and hire policy, shown at the last step.
  • You can also ask each rider's height when booking, so the right size goes on the van.

ID for security

  • Tick Capture ID as security on rentals and each hire's job card gains an ID / Security section staff fill in at handover, after sighting a driver's licence or passport
  • Nothing is collected on the public booking form and no photo of the document is stored
  • Leave Also record the document number off unless you need it for recourse; it is a higher privacy obligation
  • Whatever you keep is masked on the job card and deleted automatically the number of days you set after the bike comes back

Security hold on the card

  • Tick Hold a security amount on rentals to set aside a flat amount on the customer's card against damage
  • A hold is not a payment: no money changes hands, no processing fee unless you take some of it, and releasing costs nothing
  • For a hire more than a day away, the customer saves a card when they book and the hold goes on the day before the hire. A closer hire is authorised at booking
  • The hold renews every six days until everything is back, so long hires stay covered. If the bank won't allow it, the customer is emailed a link and the job card says why
  • The hire's job card gains a Security hold section where you release it, take part of it, or ask the customer for a new one
  • Holds need Stripe. Square and Shopify take payments but cannot place a card authorisation
Two limits on holds

Taking money from a hold is one shot: anything you do not take is released immediately and cannot be taken later. And a renewal needs the customer's bank to agree without them present; if it refuses, the job card shows when the current hold lapses, so take anything for damage before then. This is not the booking deposit under Payments, which charges real money toward the hire price.
