Guided tours and departures

Catalogue → Tours covers guided group rides customers book at your `/tours` page. A tour is the product; a departure is one running of it on one date, with its own capacity and guide. Hire bikes on a tour hold real stock from your rental fleet for that day.

Create a tour

1. 1Open Catalogue → Tours and press New tour. Set a Name and a Duration label, free text such as "3 hours".
2. 2Set Price per rider, Capacity per departure and Max riders per booking.
3. 3Optionally add a Difficulty and a Default guide, which pre-fills each new departure.
4. 4Fill in the Meeting point. Dropping a pin with Meeting point on the map puts an "Open in Google Maps" link into every confirmation, reminder and booking page.
5. 5Choose a hire-bike mode, save, then add your first departure.

Departures, capacity and guides

• On the Departures tab, Add departure takes a date, a start time, an optional end time, a capacity, a Guide and Repeat weekly for *n* more weeks
• Leave the guide Unassigned and set it later; each departure has its own guide dropdown
• Rows read 6/8 booked · 2 left. Expand one for every rider, their contact details and any hire bikes
• Cancel departure closes a date without deleting it; Reopen puts it back
• Cancelling one booking releases that rider's seats and their hire bikes
• Full departures collect a Waitlist. Promote moves someone in and emails a confirmation; Remove takes them off
• Deleting a departure with bookings warns you first: the bookings go and any hire bikes are released

Hire bikes on a tour

• Three modes under Hire bikes: No hire bikes (riders bring their own), Hire bikes available, charged at the day rate, Hire bikes included in the tour price
• With either of the last two, customers pick from your rental fleet at booking, and the bikes are held as a one-day rental, so tour holds and direct hires never double book
• Every rental bike is offered by default; tick specific bikes to limit the tour to those
• Charged bikes bill at the item's daily rate; included ones add nothing; a discount code comes off the seats only

Waivers and payment

• Every rider ticks their own waiver box before booking, and the exact wording is recorded
• Leave the tour's Waiver box empty to use your shop-wide tour waiver from Policies, or paste wording for this tour alone
• Payment at booking is set once for the shop, by the Tours chip under Require payment at booking. With deposits on, the customer pays the deposit at checkout and settles the balance with you. See taking payments at booking
