Job card setup

Admin → Job card setup is a settings page, not a job card. It changes how every job card in your shop behaves and reads. The cards themselves are the Job card tab on a booking, opened from the Workboard or Schedule.

Job stages

Every job card carries one stage control that walks a job from Booked to Complete, plus the Cancelled, No show and (when switched on) Declined outcomes. The Job stages card lists each stage, and saves the moment you change it. Three things are yours per stage:

• Its name. Type over it and the Workboard columns, the schedule and the stage menus follow. The standard name still shows underneath; clearing the field puts it back.
• Its colour. The swatch sets that stage's colour everywhere a stage is drawn. Reset returns the standard colour.
• Whether it is offered. The optional workshop stages each carry a Shown on the stage control switch. Off, the stage leaves the menu and the board; a job already in it stays put, under its standard name.

The switches around the list add stages and behaviour:

• Pending and Confirmed stages. On, the stage control offers Pending and Confirmed before In progress. Off, jobs start at Booked. Turn it on if you approve bookings before they count.
• Arrived stage. On, a stage sits between Booked and In progress for a bike dropped off but not started.
• Declined stage. On, the stage control offers Declined as an outcome: the job was assessed and quoted and the customer said no. It is not a cancellation. The booking still counts as a booking, its parts demand is released, and it is left out of your revenue and completion figures.
• En route stage. On, an En route stage sits between Booked and In progress, for the drive out to a customer. The big button on a job in Today changes from Start work to On my way, even with Arrived also on.
• Tell the customer when you set off. On, moving a job to En route emails them that you are on the way, with the arrival time from your route plan when the day has been routed. Covers both legs of a collect and return. Off, you tell them by hand from the job card.
• Let them watch you arrive. On, setting off also shares that device's location and sends that customer a live map. Sharing needs Velobook open on screen: it pauses when the phone locks or you switch apps, and stops when you close it. Both of these need the En route stage on.
• Overdue flags. On, jobs and hires past their date are called out in Today and in an Overdue column on the Workboard. Turn it off if you do not move jobs through stages, or every past booking reads as late.
• Customer updates as the job moves. On, advancing a stage emails the customer an update. Off, they still get the Ready for pickup email and nothing in between. Same setting as Workshop status updates on Messaging → Templates.

Job card layout

• The second card lists every section a job card can show, in order. Arrows move a section; the eye icon turns one off
• Nothing takes effect until you choose Save. Reset to default puts the list back to how it shipped
• The sections: Stage, Parts, Visiting work, Customer name, Item, Service, Add-ons, Bill, Extra parts approval, Note from the customer, Note to the customer, Answers, Waiver, Internal notes, Rush, Priority, Window, the Date, start & duration block, and Assigned to

Sections with nothing to show already hide themselves: a job with no parts draws no Parts section. This control is for sections you never use at all.

The job number

The Job number card sets the letters in front of every job code. Default JOB-0042; set the Prefix to RA and new jobs read RA-0042, while jobs already booked keep their number. See job reference codes. Printing a card, including label printers and the Velobook print app, is in printing job cards.
