Selling prepaid service plans

Sell a bundle of services up front, then let the credits pay for bookings automatically. Sold online or recorded in store, tracked per customer.

A plan is prepaid credits, not a subscription. A customer pays once for a set number of services, and the credits sit against their email until they book. Nothing recurs. Build them under Catalogue → Plans, titled Service plans, which holds the plans you sell and the customers who hold one.

Create a plan

  1. 1Open Catalogue → Plans and hit Add plan.
  2. 2Give it a Name, a Price and the number of Services included. One is the minimum.
  3. 3Set Valid for (months, blank = never expires).
  4. 4Redeemable against is Any service or one specific service.
  5. 5Service reminder every (months, blank = off) sends a "next service due" nudge that many months after each plan-paid job.
  6. 6Description is shown to customers. The optional Mileage note sits under it, for terms like "or 4,000 km".
  7. 7Save. The plan is visible to customers unless you mark it hidden.

What the customer gets

  • Plans live at /plans on your booking page, the one customer-facing page behind a login: a plan ties credits to a person, so every purchase needs a verified account
  • Signed in, a customer sees the plans you sell, buys with Buy this plan, and sees any credits they hold with a count and an expiry date
  • Buying online runs through whichever online payment provider you already take bookings on (Shopify, Stripe or Square). With none connected, the customer is told to ask at the counter
  • Once the payment settles, the credits go live and the customer is emailed a confirmation

Selling one at the counter

Under Plan holders, Record a purchase covers a sale taken in store or over the phone. Pick the plan, enter the customer's email (required, since credits key on it), add a name and phone if you have them, and record it. The credits are redeemable immediately, and the row is marked as a manual, paid-in-store purchase.

The terms are frozen at purchase

A purchase snapshots the plan's name, price, credit count and validity. Editing or deleting the plan afterwards never changes what someone already bought.

How credits get spent

  • The customer does nothing. When they book, Velobook looks for an active, unexpired plan under the email they book with and pays for the work out of it
  • A booking of three services consumes three credits, one per line. A line with no matching credit is charged as normal
  • Credits closest to expiry are used first. A plan scoped to one service only pays for that service
  • Credits are only spent on a booking that confirms straight away. A request waiting for your approval, or one waiting on a deposit, does not consume a credit until confirmed
  • If a plan-paid booking is cancelled, the credit goes back and any pending service reminder is dropped
  • The same credit cannot be spent twice, even by two bookings made at once

Tracking who holds what

  • Plan holders shows each buyer with their plan, email, credits left out of the total, what they paid and how, and the expiry date. Lapsed or cancelled plans are pilled
  • Adjust credits corrects a balance by hand. Cancel plan ends one, and warns how many unused credits are forfeited
  • Credits key on email: a customer who buys under one address and books under another will not have their plan found
